How to Set Up Users, Roles, and Shipping Addresses in the BuilderFirst Portal
Use this guide if you are the Company Admin for your organization's BuilderFirst portal account. Your Company Admin account is created automatically, but you must complete the setup by adding users and shipping addresses.
Overview
The Company Admin is the primary administrator for a company account in the BuilderFirst portal. This person typically has full access to manage company users, roles, permissions, and shipping locations. After the Company Admin signs in for the first time, they should complete the setup before inviting additional users to place orders or manage account activity.
Before You Begin
- Make sure you can sign in with your Company Admin credentials.
- Gather the names and email addresses of the users you want to add.
- Decide what each user should be able to do in the portal, such as view orders, place orders, manage addresses, or approve purchases.
- Collect the shipping addresses your company will use frequently.
Step 1: Sign In as the Company Admin
- Go to the BuilderFirst Portal sign-in page.
- Enter the email address and password associated with the automatically created Company Admin account.
- After signing in, open the company account or account management area.
- Confirm that your company name, contact information, and account details are correct.
Step 2: Add Additional Users
- Go to User Management in your Account Settings.
- Select Add User.
- Select the User Role from the drop-down menu. (See User Role definitions in Table 1.1 and 1.2 below.)
- Fill in the user's email address, First and Last Name. These are required fields.
- Save the user record.
- The user will receive an email with instructions to finish setting up their account.
Tip: Give each user only the permissions they need to do their job. This helps protect account information and reduces ordering or billing errors.

Step 3: Add Shipping Addresses
You may not need to add any addresses initially unless you have a main warehouse where you stage materials. BuilderFirst can drop ship your order directly to the jobsite and the jobsite address can be added in a Project Set-up (see Creating a Project) or in the Cart during ordering (see From Project to Order).
- Go to the Addresses section of your Account Settings.
- Verify that your default Billing Address is correct. Note: Default address cannot be changed in the Account Settings. You must contact BuilderFirst support at 1-888-204-9902, or support@builderfirstlighting.com.
- Select + Add Address.
- Select either Shipping or Billing as the type of address you are adding.
- You can give the address a label so it's easy to identify later.
- Provide a contact name at the location (required). Fill out the full address.
- Save the address.

Troubleshooting
- A user did not receive an invitation: Confirm the email address is correct, check spam or junk folders, and resend the invitation if available.
- A user cannot see an address: Check that the address is active and assigned to the user or the user's role.
- A user cannot place an order: Review the user's role permissions and any approval workflow settings.
- A role has too much access: Edit the role and remove any permissions that are not required.
- An address is incorrect: Edit the address before users place orders to avoid shipping delays.
